Privacy Policy

This Privacy Policy describes how Refuel LLC (operating as "Haulr", "we", "us") collects, uses, and shares information when you use thehaulr.com and the Haulr mobile applications (collectively, the "Service").

1. Information we collect

• Account information — email address, name (optional), phone (optional). Used to create your account and authenticate you.
• Freight quote details — pickup/destination, weight, dimensions, equipment type, dates, notes. Used to match you with carriers.
• Payment information — handled exclusively by Stripe. We never store your full card number; we only retain Stripe's customer ID and the last 4 digits.
• Device & usage data — device type, browser, IP-derived city, pages visited, interactions. Used to diagnose bugs and improve the product.
• Voice recordings — when you press the mic to dictate a load, audio is sent to our transcription provider (OpenAI Whisper) over an encrypted channel, transcribed to text, then discarded. We do NOT store the audio file.

2. How we use it

• To provide quotes, book shipments, and connect you with carriers.
• To send booking receipts, OTP login codes, and service updates by email (via Resend).
• To process subscription payments (via Stripe).
• To analyze product usage and prevent abuse (via PostHog).

3. Who we share with

We share only what's necessary to provide the Service. Specifically:

• Carriers — when you book a shipment, the relevant carrier receives your pickup/destination, load details, and your contact email/phone so they can fulfill the haul. They do NOT receive your billing information.

• OpenAI — voice transcription + load-parsing. Per OpenAI's API terms, your data is NOT used to train their models. openai.com/policies/privacy-policy

We do not sell your personal information.

4. Data retention

We retain account + shipment data for the life of your account plus 7 years after closure (US tax + freight regulatory requirements). Voice audio is deleted within seconds of transcription. You can request earlier deletion by emailing support@thehaulr.com.

5. Your rights

• Access — request a copy of your data
• Correct — update inaccurate information
• Delete — request erasure (subject to the regulatory retention window above)
• Export — receive your data in a portable format
• California residents have additional rights under the CCPA. Email us to exercise them.

6. Children

Haulr is not intended for users under 18. We do not knowingly collect data from children.

7. Security

All traffic is TLS-encrypted. Passwords are not stored — we use email OTP. Payment data never touches our servers (PCI-out-of-scope via Stripe). We rotate session tokens on every sign-in.

8. Changes to this policy

We'll post material changes here at least 7 days before they take effect, and email you if your account is active.
